How to effectively manage contracts in freelancing

Usually, emotions go from really excited (about that money of course) to interesting, to daunting and finally, to lethargic. As is human nature, procrastination creeps in, like a thief in the night. (Okay, that last bit was too much, but you get the point). So, below are tips on how to crush your contractual freelancing gig like a #MotherlandMogul. Bullet journals Yes, I know, journaling is a task on its own, but bullet journaling helps greatly when it comes to actually doing your job. It basically consists of to-do lists organised on a daily basis. All you need to do is tick off each item on the list at the end of each day. This helps you cover every detail on the job. It also forces you to think about the development process of the task ahead. Think I am kidding? This is one of the most agreed upon activities to increase productivity. Set an agreed time to update your client Usually, a client that has no time during the entire contract, or one that has no idea of what is required, will start pushing you around at the last minute. They will then get to asking the most ridiculous questions, which can turn into a circus, to put it gently. We also cannot fail to discuss a particular nagging client that lives to terrorise your sleep, and operates in opposite time zones. For such clients, it is necessary that you provide updates as regularly as possible. Agree upon a date that works for both of you. This way, if you go off-track from the results expected, your client can easily guide you to what is required. What happens is that such a client will take your work, approach another freelancer, and go ahead and ask her to ‘show him/her what they can do’ without pay as well. If such a client approaches you, provide a sample of previously done work that is similar to what is required. Always agree on being paid a portion of money before you start off. Alternatively, have a third party withhold the money until various obligations are met. Other than managing your time and client, contractual jobs in freelancing should not cause chaos. These are actually some of the most envied jobs in the freelancing world so, eat your cake Mogul.

Through her company Blue Apple Concepts, Zizipho curates and organises bespoke events aimed at entertaining and empowering the youth, especially those interested in entrepreneurship. One such event is the popular GlamHour, which serves as a platform for fledgling entrepreneurs in the beauty industry to showcase their work, network and gain new clients. The events also offer pampering massage sessions, facials, nail therapy and fresh delicacies for women who want to unwind in style- a rare and novel treat to the township areas of Khayelitsha. Then there’s the Lingerie Fair, aimed at encouraging young women from disadvantaged areas to openly talk about sex and practice healthy lifestyles. Apart from the pioneering strides, she’s made in the entertainment industry, Zizipho is also a speaker, entrepreneur, event coordinator, concept developer, a freelance communications specialist, content producer and a much-loved radio personality for 2OceansVibe, an online streaming radio station. Being such an inspiration, we just had to share her amazing story with you, our SLAy community, and find out what makes this ambitious creative tick. Tell us about yourself. Who is Zizipho Dyubeni? I am a young 27-year-old mom to 8-year-old Storm. I grew up in Milnerton where I went to high school. With a passionate love for all things creative, I furthered my studies at the University of the Western Cape where I later dropped out due to financial constraints. Fast forward nearly 8 years later I have created a creative agency built on the premise of heightening the voice of creative Africa, work in media. I enjoy a life wonderous and eventful! I am also an events coordinator with a specific interest in women related lifestyle eventing. What inspired you to start BlueAppleEye Concepts and where do you get the inspiration for all these innovative event concepts that you’ve come up with? I was and still am a freelancer, I understood the struggle and pain of having inconsistent income. The main idea behind the Creative Corner is to regulate work activity for creative freelancers and in doing so creating a solid creative e-commerce. What challenges have you had to overcome on your journey in the entertainment and communications industries? I would be lying if I said I have overcome a lot of the challenges, the creative industry is one that requires resilience. Right now our biggest struggle is merging business rationale with the creative concept. Tell us about your other creative and business pursuits… I am an influencer, MC, vocalist and radio DJ outside of running a small business. Financial affairs in freelancing

You jumped head first (or first dipped your toes, whichever works for you) into being your own boss and now nothing can stop you from working in your pyjamas. First of all, big hearty congratulations. Not many make it past opening a freelancing account somewhere, let alone enlist clients. And now that we have gotten the pleasantries out of the way, let us get into the nitty gritty. The big girl stuff. Mogul business. It is essential that you realise that like any business out there, freelancing has its peak seasons and its really, and I mean, really low seasons. This being said, it is essential that finances line up throughout these seasons. Let’s get to it. Know your market This is the basis of any business, and it applies even in online businesses. Knowing when the seasons’ peak and when they fall is essential in managing your money. In academic writing, for instance, seasons pick at around March-April, August-September and in December, which is the end-of-semester months. If one is freelancing designs for say, at a corporate company, it is essential that you understand their fiscal year and how they pay or contract employees then. Know your worth Some people may have you believe that since you are freelancing your services, they have to pay less that is required. Knowing the pricing on your product and service is crucial in you making profits, in the long run. So, do not undervalue or overvalue yourself. Your internet plan, however, will straight out flatten your morale if you are not careful. Choose an internet plan that is affordable for you, and that you know you can easily manage even when literally no clients are coming through because it will happen. Ride the wave High seasons in freelancing are really high, and what goes up will hit rock bottom with the same momentum. When that tide comes in, ride it like your life depends on it. Work through the day and night, stock up on coffee or energy drinks, never see outdoors, whatever it takes, stock up on that money (just remember to factor in self-care, of course). Stock up on some emergency cash Yeah, things happen. Your regular client finishes school, your contract ends, life goes on. Set aside some money for an emergency just in case your bank account is depleted. This actually goes for all businesses. It is standard. Follow the 50/30/20 rule on cash Personal financing is basically what will take you through freelancing. Know what you are spending your money on, track your receipts, cut down on the ‘for show’ products, and follow the 50/30/20 rule. 50% of your income is used on basic expenditure (like rent, food), 30% settle your debts and maybe a few luxury products, and invest with the 20% that remains. Network, network, network Even in the low seasons, remind your clients that you are available, and ask them to refer you to other clients. Networking and good service are crucial in this business. If you are working in your pyjamas and at the convenience of your home all day, something has to give. Keep it movin’: How to get more work as a freelancer

You are your own boss and that is so liberating. With the highs come the lows: the inconsistent paychecks, the odd working hours and the never ending search for more work. Until you build up a reputation and have people knocking at your door you have work twice as hard- for your actual content as well as looking for more business. So how do you keep the business rolling in when starting out as a freelancer? 1. Be proactive You have to look for the work and until you become a brand name, it won’t look for you. So spread the word among your friends, family, even the stranger down the street (jokes, don’t do that unless you really have to). If you’ve left a previous job to become a freelancer ask your old colleagues to put out the word for you, even if recommending you for work they can’t take on. Referrals will help you get new jobs especially when you have a good reputation. It might be worth it to talk to other freelancers in your field, hear how they built their business and they could also become someone worth partnering with. Approach people you want to work with/for, put yourself out there. 2. Be social media savvy Thanks to Twitter, Facebook and Instagram, your clients are literally a click away. I am not a fan of the, ‘Guys, my client could be on your timeline’ tweets but I also appreciate the resourcefulness. If you use a website remember to link it to your social media so you can direct traffic to your site. Keep it updated, showcase your work and also engage with your followers. Be accessible Nothing irritates a potential client more than having to work for someone and not being able to find them. You don’t have a PR team behind you or a secretary so you have to balance your work and being available. Make sure you keep your contact details and website up to date. When your clients want you, they should be able to find you. When there are events or opportunities to attend conferences for your field, go! Get out there and get known, build your brand by being reachable. Having a good reputation is as necessary as producing good work. 4. Don’t be too picky Sometimes, you’ll look at a work offer and be like, ‘I’m above this’ but when you a starting out you cannot be too picky. You’ve got to do some not so great work to get access to the more exciting work. Sometimes this might mean doing work for free – which is a freelancer’s nightmare. Annoying but necessary in some cases especially when it will contribute to exposure and portfolio building. It is part of the process of starting your career. Plan, plan, plan Without the daily structures of office life, it is easy to be lax when it comes to planning and having a set routine. In order to put out good work, you have to be efficient and structured. You are in charge of your schedule and it’s easy to let things slide but you have to create timelines for projects and mark down deadlines. Put in a weekly reminder to track your progress, that way you are consistently putting in the work and not just waiting for the due date to get the work done. You have to be on top of your schedule to stay on top of your work. 6. Let your work speak for itself You are only as good as your last job when it comes to freelancing. When looking for working on sites such as UpWork, you may be requested to give examples of previous work. Your portfolio is as good as your CV. Always be consistent in terms of quality by making sure it is always up to date. Another way to get more clients is to have your previous clients speak up on your work. Effectively handling multiple jobs like a pro

You are excited because you are finally on your way to doing something you really love. You spend endless hours on your side gig all in the hopes of being successful. But your job becomes a distraction and starts to keep you away from your hustle. How do you balance it all? Below are some of my tips for being a professional job juggler. Develop a work routine The biggest problem with holding multiple jobs especially if you already have a full-time job is falling into the trap of thinking you don’t have to work as hard as you would a regular job. Sorry to burst your bubble but having a freelancing gig may mean working twice as hard just to get a little bit of success. Therefore, a work routine needs to be developed for your multiple jobs. If you have set aside 3 days a week to work on your side hustle do it! Treat your gig just the way you treat your regular job. If you can’t imagine slacking on your regular job then you sure can’t slack on your side job. Chances are there are plenty of people doing what you are doing right now. Talk to other freelancers and pick their brains on issues that you may be having. Also just ask them general questions about how they operate. Learning from others will help you avoid the mistakes they made and save you a whole lot of time and money. Be organized Being organized doesn’t always have to mean you have a physical space to call an office for your business. In these times, few businesses have that. Regardless always make sure you have your business cards, company profile and pitch ready. This will significantly reduce your turnaround time with potential clients. Getting even one potential client is a good feat for a gig so you don’t want to scare off any. Additionally, you always want to feel ready to conquer what’s thrown at you. When you feel overwhelmed by your multiple jobs it is okay to have a time out to just think. Watch your favourite 90s movie (cue in Pretty Woman), take a bath, go out for drinks, read a good book the list is pretty endless. The goal is to rejuvenate yourself so you can focus on your work. Create goals for yourself. Look! Goals give you direction period. If you do not set goals for yourself and your work you are most likely going to get overwhelmed. Additionally, you will be working but not adding impact. Every morning when you wake up ask yourself, “What single task can I do today that will take my business forward?” It’s all about creating purpose and everything will fall into place. Celebrate!! Celebrate every little milestone you achieve while working multiple jobs. You will automatically psyche your brain into doing more and before you know it you’ll be a master of your craft.
